Privacy Policy

Tools for Democracy LLC (“we,” “us,” “our”) operates the website at toolsfordemocracy.us and licenses on-premise software to government agencies and other organizations. This Privacy Policy describes what information we collect, how we use it, and what we do not do with it.

The short version: we collect very little, we store nothing in the cloud, and your data stays on your infrastructure.

1. Information We Collect on This Website

When you submit the contact form on this website, we collect the following information:

  • Name
  • Email address
  • Organization (if provided)
  • Role or title (if provided)
  • Message content

This information is submitted voluntarily and is used solely to respond to your inquiry.

What this website does not use

  • No cookies (first-party or third-party)
  • No analytics services (no Google Analytics, no Plausible, no Fathom)
  • No tracking pixels or beacons
  • No fingerprinting or behavioral profiling
  • No advertising networks
  • No social media tracking scripts

2. Information Our Software Collects

Our on-premise software products collect the following information for license activation purposes only:

  • Machine fingerprint: A one-way cryptographic hash derived from the hostname and MAC address of the machine on which the software is installed. The raw hostname and MAC address are not stored — only the irreversible hash.
  • License activation timestamp: The date and time the software was activated on the machine.

What our software does not collect

  • No usage data or usage statistics
  • No telemetry of any kind
  • No phone-home or heartbeat connections
  • No user behavior tracking
  • No content of documents, queries, or analyses
  • No network traffic monitoring

The software makes zero outbound network connections. It is designed for air-gapped deployment and operates entirely on the customer's infrastructure.

3. Where Data Is Stored

Website form submissions

Stored on our application server hosted in the United States. Submissions are encrypted in transit (TLS) and at rest. Access is limited to authorized personnel for the sole purpose of responding to inquiries.

Software data

All data created by the software — databases, exports, configurations, analyses — is stored entirely on the customer's own infrastructure. We never receive, access, store, or transmit customer data. The customer has full control at all times.

License activation data(machine fingerprint hash and activation timestamp) is stored locally on the customer's machine in the ~/.grove/ directory. This data is not transmitted to us or to any third party.

4. What We Do Not Do

×We do not sell, rent, or trade personal information or customer data to any third party, for any reason.
×We do not share customer data with third parties, including data brokers, advertisers, or analytics providers.
×We do not process customer data in the cloud. All software runs locally on the customer's hardware.
×We do not collect telemetry, usage metrics, crash reports, or any form of behavioral data from our software.

6. Children's Privacy

Our website and software are not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If we become aware that we have collected personal information from a child under 13, we will take steps to delete such information promptly.

7. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or for legal, regulatory, or operational reasons. When we make changes, we will update the “Last updated” date at the top of this page. We encourage you to review this page periodically.

For material changes that affect how we handle personal information, we will make reasonable efforts to notify affected parties in advance.
